Why Accommodation Info Matters More Than Couples Realize
If 30% or more of your guest list is traveling in, accommodation information is one of the most important sections of your entire invitation. Out-of-town guests are making decisions about flights, rental cars, time off work, and lodging — and how much you have done to make those decisions easier directly affects how many of them actually RSVP yes.
Surveys consistently show that the single biggest reason out-of-town guests decline weddings is logistical friction. Cost is part of it, but the bigger factor is uncertainty: not knowing where to stay, not knowing how far it is from the venue, not knowing if there is a discounted block, not knowing how to book. A well-built accommodations section eliminates almost all of that uncertainty in a single screen.
How to Negotiate a Hotel Room Block
A "room block" is a reservation of rooms at a discounted rate, held under your wedding's name. Guests call or book online with a code and get a better price than walk-in rates. Most hotels will offer a block once you have a date and a rough headcount.
- Start 6 to 9 months before the wedding. Earlier in popular destinations or peak seasons. Hotels run out of inventory.
- Call the sales department, not the front desk. Front desk staff cannot negotiate group rates. Ask specifically for "group sales" or "wedding sales."
- Ask for two or three hotels at different price points. A luxury option, a mid-range option, and a budget option. Most wedding guests will land in the mid-range, but you give everyone somewhere to go.
- Negotiate a release date. This is the date unbooked rooms in your block return to the general pool. Standard release is 30 days before the wedding. Push for 21 days if you can.
- Get the booking code in writing. Confirm whether guests book online with a code, by phone, or via a custom landing page.

You can include as many or as few hotels as you want. Three is a common sweet spot — covers different budgets without overwhelming guests with options.
Wording for the Accommodations Section
You need one short line of context above the hotel list. Keep it warm and practical:
- Classic: "We have reserved blocks of rooms at the following hotels. Please book by [date] to receive the discounted rate."
- Warm: "For our out-of-town guests, we have set up rooms at a few nearby hotels. Use the codes below to book your stay."
- Destination wedding: "We are so grateful you are making the trip. Here are a few hotel options at different price points to make planning easier."
- With cutoff emphasis: "Discounted block rates are available until [release date]. After that, rooms revert to standard pricing."
Should You Include Airbnb or VRBO?
Increasingly, yes. For weddings in scenic destinations, vacation rental sites are often the better option for families or friend groups traveling together. You can include a short link or note in the Accommodations block description, or you can add the Details block below and write something like:
"For larger groups or families, Airbnb and VRBO both have great options within 10 minutes of the venue. Search [town name] for available rentals."
Some couples create curated Airbnb wishlists and share the wishlist link — this works well when the wedding is in a town with lots of unique properties.
The Release Date Communication
One of the most common accommodation mistakes is failing to communicate the release date clearly. If guests miss the cutoff, they pay full price or find your hotel sold out. Make the release date impossible to miss:
- Include it in the description of each hotel entry. "Book by March 15 for the block rate."
- Send a reminder two weeks before the release date. A brief update to your guest list — most digital invitation platforms make this easy.
- Use the FAQ block to address it. Add a question like "When do I need to book my hotel by?" with the release date as the answer.
What If You Cannot Negotiate a Block?
Some smaller weddings or last-minute weddings end up without a formal room block. That is fine. You can still help guests by listing recommended hotels with addresses, distances, and direct booking links. Skip the booking code field and replace it with a short note in the description — "No group rate available, but this hotel is closest and has consistently good reviews."
Even without a block, guests appreciate the curation. They would rather have your recommendation than research it themselves.
